Build the brief before the shot list
A useful event brief explains what the gathering is, who it is for and how the photographs will be used. Share the event date, venue, start and end times and the person who will coordinate photography on the day.
This is a planning checklist for an event inquiry. Sahara Studios’ current gallery shows a group fitness event and the FLOR coffee stand; discuss the suitability and scope of your corporate event before booking.
Identify the essential moments
Use the event schedule to mark presentations, speakers, awards or announcements that cannot be repeated. Note any overlapping moments in different rooms. Then separate essential images from atmosphere photographs that can be made between scheduled activities.
For important people, provide names, roles and an on-site contact who can identify them. A long unprioritized list makes it harder to see what matters most.
Balance people and details
- Speakers, presentations and audience reactions
- Attendees interacting and any planned group photographs
- Venue, décor and relevant brand or sponsor details
- Awards or key moments on the schedule
- The overall atmosphere and activity between formal events
Confirm access and delivery expectations
Discuss photography access, any restricted areas and organizer requirements. Let the photographer know about stage lighting, movement between rooms and any moments where photography would interrupt proceedings.
State your delivery deadline and intended use before booking. Do not assume same-day delivery, commercial licensing terms or a set image quantity unless they are explicitly agreed.
